The problem
A lapsed contractor license, an expired certificate of insurance on file with a general contractor, or a truck registration that ran out can stop work or cost a contract. The dates are scattered across inboxes, filing cabinets and the state licensing portal. In many shops the only reminder is the renewal notice, and those go to whoever set up the account years ago.
What Cowork does
- The office builds one sheet with each item, its owner, expiry date and renewal link.
- A weekly task reads the sheet and finds items expiring in the next 60 days.
- It emails reminders at 60 and 30 days and every week after 14 days.
- It also searches Gmail for incoming COI requests from general contractors and adds them to the sheet.
Where the draft lands
Weekly reminder emails and an up-to-date sheet.
What stays with you
Doing the renewals and paying the fees.
Expiring in the next 60 days:
General liability COI on file with Ridge Builders: expires Nov 30 (request renewal from agent).
Truck 3 registration: expires Dec 4.
Sam's master electrician license: renews Dec 31, 4 CE hours still needed.
Watch-outs
- The sheet must be updated when renewals happen, or reminders keep coming.
- Continuing-education hours for licenses need their own column.
Questions owners ask
Can it renew the license?
No. State portals need a person.
Is this worth automating?
It's cheap to set up and one missed renewal costs more than the setup.
