The problem
A lapsed payer credential means claims get denied for weeks of work. A lapsed license or DEA registration can stop a provider from seeing patients. Each payer runs its own cycle, and the dates sit in a CAQH profile, a folder of PDFs and the credentialing coordinator's memory. New hires add a stack of applications with follow-up dates of their own.
Keep out of the AI
- Claims, remittances or denial letters that name patients
- Anything from the practice management system or clearinghouse
- Provider health information (for example on a disability or leave form)
Every dental and medical idea here is designed so no protected health information (PHI) ever goes into Claude. Anthropic offers HIPAA only on Enterprise plans; Team plans can’t enable it. Under the HIPAA configuration, Cowork runs in local mode on a desktop and Cowork in the cloud (including cloud scheduled tasks) isn’t available. Anthropic’s documentation says connectors and MCP servers aren’t covered by its BAA. Nothing here makes a practice HIPAA compliant; ask your privacy officer before you start.
What Cowork does
- The office builds one sheet per provider: payers with effective and recredentialing dates, license numbers and expiry dates, DEA, board certification, CPR/BLS, and malpractice coverage.
- A weekly task reads the sheet and emails reminders at 120, 90, 60 and 30 days before each date, earlier for payers known to be slow.
- For new providers it tracks each payer application: submitted date, follow-up due, and the last response, from the credentialing mailbox.
- It drafts follow-up emails to payer enrollment contacts when an application has gone quiet past your threshold.
Where the draft lands
Weekly reminder emails, an up-to-date tracking sheet and follow-up drafts.
What stays with you
Completing applications and attestations, updating CAQH, and anything that needs a provider's signature.
Due in the next 90 days:
Dr. Alvarez: recredentialing with a commercial payer due Dec 15 (packet usually takes 6 weeks; start now).
Dr. Chen: state medical license renews Jan 31; DEA registration renews Feb 28.
N. Patel, NP: BLS card expires Nov 30.
Pending applications: 2 payers for Dr. Okoro, last response 34 days ago. Follow-up drafts saved.
Watch-outs
- HIPAA note: provider credentials aren't patient information, but denial letters usually are. Keep the credentialing mailbox separate from billing mail.
- Payer rules change. The sheet needs a 'last checked' date per payer.
- Cowork can't log in to CAQH or payer portals for you in a scheduled task.
Questions owners ask
Does this replace a credentialing service?
No. It keeps dates in front of whoever does the credentialing, in-house or outsourced.
Can it fill out applications?
It can draft cover letters and checklists. Applications and attestations need the provider.
