Booking replies that include real open times

When someone emails to set up a meeting, Cowork reads the calendar and drafts a reply with two or three open times and a single-use Calendly link.

For: Insurance agencies, Bookkeeping and CPA firms, Small law firms, Real estate teams, LandscapersBy John DietrichUpdated

The problem

'When are you free?' starts a chain of three or four emails. Each one waits on someone checking a calendar. New clients drift away during the back-and-forth, and the front desk spends part of every day on calendar ping-pong for other people. The person asking usually just wants a time that works.

What Cowork does

  1. An hourly task reads new messages that ask to meet or book.
  2. It checks the right person's Google Calendar for open times that match the meeting type.
  3. It drafts a reply offering two or three times and a single-use Calendly link as a fallback.
  4. It labels the thread so it's easy to find.

Where the draft lands

Reply drafts with times and a link.

What stays with you

Sending, and anything that needs a judgment call about who should meet the client.

Hi Sam, happy to meet about catching up your books. I have Tuesday at 10:00 or 2:30, or Thursday at 9:00. If none of those work, grab any open time here: [single-use Calendly link]. Jo

Watch-outs

  • Calendars must be current, including personal blocks.
  • Calendly's connector can book directly. Keep booking as the client's action through the link.

Questions owners ask

Do I need Calendly?

No. Offering times from Google Calendar works alone. Calendly adds a self-serve link.

Can it handle Outlook calendars?

Yes, through the Microsoft 365 connector.
