The problem
Gloves, masks, sterilization pouches, impression material, exam table paper, specimen cups: running out of any of them stops work. Most offices reorder by memory or when someone notices an empty shelf, then pay for rush shipping. Comparing counts against par levels and last month's orders is a dull half hour nobody schedules.
Keep out of the AI
- Patient-specific orders (for example a lab case or a medication tied to one patient)
- Any procedure log or schedule that shows which patient used what
- Purchasing mailbox contents that mix in patient email; keep that mailbox for vendors only
Every dental and medical idea here is designed so no protected health information (PHI) ever goes into Claude. Anthropic offers HIPAA only on Enterprise plans; Team plans can’t enable it. Under the HIPAA configuration, Cowork runs in local mode on a desktop and Cowork in the cloud (including cloud scheduled tasks) isn’t available. Anthropic’s documentation says connectors and MCP servers aren’t covered by its BAA. Nothing here makes a practice HIPAA compliant; ask your privacy officer before you start.
What Cowork does
- Staff update a count sheet weekly (a phone-friendly Google Sheet works).
- A Thursday task compares counts with par levels and flags items under the reorder point.
- It reads vendor order confirmations in a purchasing mailbox to see what's already on the way and what the last price was.
- It drafts the reorder list grouped by vendor, with quantities, last price and any price jump, plus a short email for vendors that take orders by email.
- It notes items ordered more often than usual so the manager can check for waste or a par level that's too low.

Watch-outs
- HIPAA note: supply counts aren't patient information as long as nothing ties an item to a patient. Keep patient-specific orders out of the sheet.
- Most dental and medical distributors take orders through their own portals. Cowork drafts the list; placing the order stays manual.
- Controlled substances and prescription items have their own record-keeping rules. Leave them out of this sheet.

We haven't found official Claude connectors for the big dental or medical distributors. Order confirmations by email are the practical source.
Will it catch price increases?
It compares the last few confirmations for each item and flags jumps above your threshold.
