The problem
Sterilization monitoring and equipment upkeep are routine until an inspector asks for the log, or a failed spore test goes unnoticed. The tasks run on different cycles, the results come by mail or email from the testing service, and keeping the binder current falls to whoever has a spare minute.
Keep out of the AI
- Which patients were treated with instruments from a failed load (that recall, if needed, is handled in your systems by people)
- Anything from the practice management system
- Staff exposure or injury reports
Every dental and medical idea here is designed so no protected health information (PHI) ever goes into Claude. Anthropic offers HIPAA only on Enterprise plans; Team plans can’t enable it. Under the HIPAA configuration, Cowork runs in local mode on a desktop and Cowork in the cloud (including cloud scheduled tasks) isn’t available. Anthropic’s documentation says connectors and MCP servers aren’t covered by its BAA. Nothing here makes a practice HIPAA compliant; ask your privacy officer before you start.
What Cowork does
- The office lists each item and its cycle in a sheet: sterilizer spore tests, waterline tests, compressor and vacuum service, X-ray unit inspection, eyewash checks, fire extinguisher service.
- A weekly task emails reminders for anything due in the coming week.
- It reads result emails from the spore-testing service in a compliance mailbox, records pass or fail, and flags any failure to the office manager at once (on its next run).
- At month end it drafts a log summary for the compliance binder.

Running tests, acting on failures (which follow your written protocol, not an AI draft), and service calls.

Watch-outs
- HIPAA note: a failed spore test may lead to a patient recall. That step uses patient records and happens in your own systems, never in Claude.
- Because Cowork runs on a schedule, a failure email can sit up to an hour or until the next run. Your testing service's phone alerts should stay on.
- State dental board rules set the required cycles. Check them; the sheet is your record of what you decided.

Only from emails the service sends. Portal logins stay manual.
Does this make us inspection-ready?
It keeps the log current. Whether the log meets your state's rules is for your compliance lead.
