The problem

Hygienists, dental assistants and medical assistants are hard to hire, and the good ones take another offer within days. Practices lose them while applications sit unread and interview times bounce back and forth by email.

Keep out of the AI

  • Applicants' health information, vaccination records or disability disclosures (those belong in HR files, handled by people)
  • Anything about patients, including in interview notes
  • Background check results

Every dental and medical idea here is designed so no protected health information (PHI) ever goes into Claude. Anthropic offers HIPAA only on Enterprise plans; Team plans can’t enable it. Under the HIPAA configuration, Cowork runs in local mode on a desktop and Cowork in the cloud (including cloud scheduled tasks) isn’t available. Anthropic’s documentation says connectors and MCP servers aren’t covered by its BAA. Nothing here makes a practice HIPAA compliant; ask your privacy officer before you start.

What Cowork does

  1. The manager fills in a short brief: role, license or certification required (for example RDH, RDA, X-ray, CMA), schedule, pay range.
  2. Cowork drafts the job post for review.
  3. A daily task reads applications in a hiring mailbox and records each in a sheet: license or certification as stated, years, schedule fit, location, and a quote from the application.
  4. For candidates the manager marks 'interview', it drafts an invitation with two or three times from the manager's Google Calendar.

Watch-outs

  • HIPAA note: applicant data isn't PHI, but health information about applicants is sensitive under employment law. Keep it out.
  • The Gmail connector can't read attachment contents. Ask applicants to paste key details or save resumes to Drive.
  • Don't let a draft rank or reject candidates. Every application that meets the basics gets read by a person.
