Cover a staff call-out before the first patient arrives

When an assistant, hygienist or MA calls out, Cowork reads the staff roster and drafts coverage messages to the people qualified and available to fill the shift.

The problem

A 6:30 AM text saying 'I'm sick' sets off a scramble. The office manager scrolls through contacts, remembers who is cross-trained, who already worked four days, and who can't do Thursdays, and sends texts one by one. Meanwhile the morning runs short and providers fall behind.

Every dental and medical idea here is designed so no protected health information (PHI) ever goes into Claude. Anthropic offers HIPAA only on Enterprise plans; Team plans can’t enable it. Under the HIPAA configuration, Cowork runs in local mode on a desktop and Cowork in the cloud (including cloud scheduled tasks) isn’t available. Anthropic’s documentation says connectors and MCP servers aren’t covered by its BAA. Nothing here makes a practice HIPAA compliant; ask your privacy officer before you start.

What Cowork does

  1. The office keeps a staff roster sheet: role, qualifications (for example expanded-function assistant, X-ray certified, phlebotomy), usual days, max hours, and preferred contact.
  2. When the office manager forwards or types the call-out (who, which shift) into an ops email address, Cowork picks it up on its next run, or the manager starts it by hand for speed.
  3. It filters the roster for staff qualified for that role who aren't already scheduled and are under their hours limit.
  4. It drafts a short coverage request to each, in order of preference, and a note to the manager listing who was asked.
  5. It logs the call-out and who covered it for the monthly staffing review.

Watch-outs

  • HIPAA note: this idea uses staff information only. Keep the patient schedule out; rescheduling patients happens in your practice management system.
  • Scheduled tasks run hourly at most, so for a same-morning call-out the manager should start the task by hand.
  • Texting staff from Claude needs approval on each message. Email or your existing staff texting app is simpler.
