The problem
Most shops come in on Monday to a stack of weekend voicemails. Someone listens to each one, writes down the name, address and problem, types it into Jobber, then calls or emails back. The calls that wait longest are often the ones that book with a competitor first. The work is simple but it lands at the busiest hour of the week.
What Cowork does
- An hourly scheduled task reads new voicemail transcripts from Quo (Business or Scale plan) or RingCentral.
- It skips spam, vendors and existing-job callbacks, and pulls name, phone, address and the problem from real inquiries.
- For each new inquiry it creates a Jobber client and request through Jobber's official connector, with the transcript in the request notes.
- If the caller left an email address, it writes a short reply draft in Gmail offering the next two open windows the office has listed in a shared sheet.
- It adds a line to the office's morning list: who called, what they need, and what was drafted.
Where the draft lands
Jobber requests in the normal Requests list, plus Gmail drafts labeled AI-draft.
What stays with you
Calling people back, deciding which jobs to take, and pressing send on every draft. Emergencies still go to whoever is on call; an hourly sweep is too slow for a burst pipe.
New request: Dana Ruiz, 418 Alder Ct. Transcript: "Half the kitchen outlets stopped working after a breaker tripped, nothing resets." Source: voicemail 9:42 PM Sat.
Draft reply: Hi Dana, thanks for calling Brightline Electric. Sorry about the kitchen outlets. We can look at it Monday between 8 and 10 or Tuesday between 1 and 3. Which works? If anything feels warm or smells like burning, turn that breaker off and call our main line. Mel
Watch-outs
- Cowork has no event triggers. The sweep runs on a schedule (hourly at best), so this does not replace an answering service for emergencies.
- Transcripts mishear addresses and names. The request should always be checked before anyone is dispatched.
- Housecall Pro and ServiceTitan shops need a different path: ServiceTitan through Composio, Housecall Pro through Zapier or a custom connector, if available.
Questions owners ask
Does the caller get an automatic reply?
No. Cowork writes the reply as a Gmail draft. Nothing reaches the customer until someone in the office sends it.
What if we don't use Jobber?
The same flow can land in a Google Sheet or in ServiceTitan through Composio. Housecall Pro has no official connector, so it needs Zapier or a custom connector.
