The problem
Repeat maintenance is the steadiest work a shop can get, and most of it is already in the job history. Nobody has time to dig through last year's jobs to find who is due, so the reminders go out late or not at all.
What Cowork does
- A weekly task in the shoulder seasons reads completed jobs from the past 9 to 15 months in Jobber.
- It picks customers whose last service matches a maintenance type (furnace tune-up, AC check, backflow test, generator service, spring cleanup) and who don't have an upcoming visit.
- It writes a short reminder draft for each, mentioning last year's visit and offering to book.
- It caps the batch so the office isn't flooded, and logs who was contacted.
Where the draft lands
Batches of Gmail drafts and a contact log in Sheets.
What stays with you
Sending, booking, and removing customers who asked not to be contacted.
Hi Rob, it's been about a year since we tuned up your furnace on Oak Street. Fall is a good time to get it checked before the first cold night. We have openings the weeks of Oct 20 and Oct 27. Want me to hold a time? Kim at Northfield
Watch-outs
- Respect opt-outs. Keep a 'do not contact' column in the log and have the task check it.
- If you send marketing email in bulk, it needs an unsubscribe option. One-to-one reminders sent by hand are simpler.
Questions owners ask
Is this marketing email?
A personal reminder about a service you performed is usually treated as a transactional or relationship message, but check CAN-SPAM rules for your wording.
Can it book the visit?
It drafts the message. Booking stays with the office.
