Draft a first reply to every website lead within the hour

Cowork checks the inbox every hour for contact-form leads, writes a reply in the owner's voice that asks the one or two questions the shop always needs answered, and logs the lead in Jobber.

The problem

Website form leads arrive as emails mixed in with supplier invoices and newsletters. They get answered when someone has a minute, which can be the next day. By then the homeowner has filled out three other forms. The first reply usually asks the same things every time: address, photos, how soon, and whether they own the home.

What Cowork does

  1. An hourly task searches Gmail or Outlook for new form notifications from the website.
  2. It reads the message and works out what is missing for a quote: address, photos, timing, panel size, unit age, yard size, or whatever the shop's checklist says.
  3. It writes a reply draft in the owner's voice that thanks them, answers anything obvious from the shop's FAQ document, and asks only the missing questions.
  4. It creates a Jobber client and request with the form details so the lead is in the system before anyone replies.
  5. Leads that look like spam or job-seekers get labeled and left alone.

What stays with you

Reading the draft, fixing anything that sounds off, and sending it. Pricing questions stay with the owner.

Watch-outs

  • The real gain is speed, and speed only happens if someone checks drafts a few times a day.
  • If the form tool sends leads from a no-reply address, the draft has to go to the email address inside the message. Test this first.

Questions owners ask

Will it quote prices?

Only if you tell it to. Most shops have it ask the missing questions and leave pricing to a person.

Can it reply by text instead?

Quo's connector can send texts, but each send needs approval inside Claude, which breaks the 'staff never open Claude' setup. Email drafts are the simpler default.
